Refund and Return Policy

1. Scope

This Refund and Return Policy applies to all digital services provided by Vexta Hosting / Vexta Data Solutions LLC, including but not limited to web hosting, reseller hosting, virtual servers, nested servers, dedicated/physical servers, server colocation, domain services, licenses, software, setup, technical support, and similar services.

2. Service Activation and Right of Withdrawal

Individual customers may have a right of withdrawal within 7 days from the date of purchase, to the extent permitted by applicable law. However, the right of withdrawal is waived once a digital service has been immediately performed, activated, customized, access credentials have been provided, or the customer has started using the service.

3. Non-Refundable Services

Refunds will not be issued in the following cases:

  • After hosting, reseller hosting, virtual server, nested server, dedicated/physical server, server colocation, domain, or license services have been activated,
  • After IP addresses, control panel access, SSH/RDP access, management panel access, or server access credentials have been provided to the customer,
  • After custom configuration, custom installation, special license assignment, IP allocation, operating system installation, or any similar personalized service has been completed upon the customer’s request,
  • For domain registration, transfer, or renewal services after the transaction has been completed,
  • For services that have expired, been suspended, cancelled, or activated, even if the customer did not use them,
  • In cases involving malicious use, system abuse, spam, abuse reports, illegal activity, or violation of the Terms of Service.

4. Dedicated / Physical Servers and Annual Services

Dedicated/physical server services are specialized services provided by allocating dedicated resources, hardware, IP addresses, network access, and/or custom configurations to the customer. These services are deemed delivered once the server has been activated, access credentials have been provided to the customer, or customer-specific resources have been allocated.

For annual, periodic, or specially priced services, early cancellation or refund requests are not accepted after the service has been activated. Providing an installment payment option as a convenience to the customer does not mean that the service is sold on a monthly basis or that installment payments are refundable. Each installment is considered part of the total service fee for the purchased service period.

5. Refund Request Process

For a refund request to be reviewed:

  • The request must be submitted within 7 days from the date of purchase.
  • The request must be submitted in writing through the support system or to our official email address.
  • The customer’s full name / company name, service number, order number, reason for refund, and contact details must be clearly provided.

Requests with missing information, verbal requests, or requests submitted outside the stated period may not be reviewed.

6. Refund Method and Processing Time

If a refund request is approved, the refund will be processed, where possible, using the original payment method. Payment providers, banks, and card issuers process refunds according to their own processing times. Transaction fees, payment provider fees, currency exchange differences, and processing costs may be deducted from the refundable amount.

7. Payment Disputes / Chargebacks

Before initiating a payment dispute, bank dispute, or chargeback with a payment provider, bank, or card issuer for an activated or delivered service, the customer must first contact Vexta Hosting through our official support channels.

For unjustified payment disputes related to services that have been delivered, activated, accessed, or used, Vexta Hosting may submit order records, invoice details, activation/access logs, support communications, the Terms of Service, and this Refund Policy as evidence to the relevant payment provider, bank, or card issuer.

In cases of unjustified chargebacks, payment abuse, or fraudulent disputes, the related services may be suspended or terminated, and any additional costs, chargeback fees, dispute fees, or processing fees may be charged to the customer.

8. Additional Terms

  • Vexta Hosting evaluates refund requests based on the type of service, delivery status, usage records, and contractual terms.
  • Refund requests may be rejected if abusive behavior, repeated refund attempts, or repeated payment disputes are detected for the same or similar services.
  • This policy shall not be interpreted in a way that violates mandatory provisions of applicable law.
